We are always excited about meeting new patients at the first visit to our office. This important 30-minute visit will consist of a thorough examination and a discussion of potential treatment options.
What We'll Cover
During the Initial Examination
During the initial examination for each patient, we will address the following questions that cover the basics of orthodontic treatment. We encourage you to ask questions as well.
- Is there a condition that orthodontics can address?
- Is treatment needed now or should treatment be delayed until appropriate growth, tooth eruption or other factors have occurred?
- What treatment procedures will be used to correct the problem?
- Do any permanent teeth need to be removed?
- How long will treatment take?
- How much will it cost?
- What are my payment options?
While we can often answer these general questions about treatment during the initial examination, we will address specific areas after careful analysis of the diagnostic records. We feel it is important to analyze each patient’s specific needs, because in-depth planning leads to superior results and higher patient satisfaction.

Your Treatment Plan & Records
We will then schedule the next appointment as required. If treatment should be planned now, the next appointment will be orthodontic records. The records include X-rays, photographs and digital scans for study models and are necessary for developing the appropriate treatment plan. This additional appointment will last approximately 30 minutes. We will also schedule a consultation visit about a month later to discuss the records findings, including treatment options, time frames and financial arrangements. We want to ensure that our patients leave the office with a clear understanding of their specific needs, what the treatment will consist of and how long it will take.

Our goal is to ensure your treatment goes smoothly and on schedule. We make it a top priority to value both you and your time. However, it is unavoidable that some work-time or school-time appointments will be necessary. To ensure quality orthodontic care and that your treatment to proceeds in a timely fashion, it is important that the braces be adjusted regularly. Your office visits will be scheduled every 4-8 weeks to monitor your progress and make necessary adjustments.
We want you to know that our staff will work hard to provide the finest orthodontic care with the most convenient scheduling system possible. We also have families and understand your scheduling concerns, and will do everything we can to ensure that your treatment goes as smoothly as possible.
The vast majority of your appointments over the course of treatment will be short appointments. However if there are times you can come during school hours it is helpful as we can spend more time. By seeing our long-visit patients during school or work hours, it leaves more room in our schedule to see more patients after school or work hours.
Appointment Policies
Our Appointment Policies
- Examinations, diagnostic records, consultations and insertion and removal of braces and appliances are more detailed and technique-sensitive appointments. Therefore, these appointments will be scheduled during quieter hours. We reserve the lunch hour and end of the day appointments for the shorter routine appointments. This means there are only a few appointment that will be in school hours
- Please call as soon as possible. Ignored problems may result in prolonged treatment and increased costs. Simple procedures can be done almost any time of the day, but loose or broken appliances and braces may take more time.
- The longer appointments are always scheduled during quieter hours at a specific time.
- Another appointment will be scheduled, but longer appointments may require waiting 2-4 weeks. An appointment during school or work hours may likely be arranged sooner.
- There are few emergencies in orthodontics. For repair of a single loose brace or broken appliance contact our office at 604 467-2229 to arrange a repair appointment. Even if you have a previously scheduled appointment, we appreciate knowing that you possibly have something to be repaired as there may be additional time needed to do the repair.
- If you experience pain, swelling or bleeding (usually from trauma to the mouth or face), please call the office for the phone number of the orthodontist on call. You will be seen as soon as possible, appropriate care given or be referred to your dentist or another specialist for treatment.

The PATIENT RESPONSIBILITIES
- Brush, floss and eat a healthy, well-balanced diet. Avoid hard, sticky foods.
- See your family dentist for a cleaning and check-up just before the braces are placed and continue your regular dental check-ups during your orthodontic treatment.
- Please inform us if there is any change in your medical or dental history.
- Call immediately if there is any discomfort or if anything is broken and we will make the appropriate appointment. Please call even if you already have an appointment since any repair needed might take longer than we have scheduled.
- Try to be on time for appointments, and please try to call two working days in advance if you have to reschedule.
- Ask us questions! Treatment always goes best when it makes sense to you.

FINANCIAL INFORMATION
Payment Options
For your convenience, we accept cash, electronic bank transfers and most major credit cards.
For the orthodontic treatment interest-free payment plans are available. As the patient (or a parent of the patient), you authorize treatment and you are solely responsible for payment of all fees. If your insurance coverage includes orthodontic treatment, documentation will be provided to you so that you will receive your maximum benefits.

Financial Policies
- Once treatment begins, you will be given the necessary forms to send to your insurance company to reimburse you.
- The monthly payments do not reflect the work done in a particular month, but merely are a way to divide the fee.
- Treatment times differ from patient to patient and the number of payments will not increase or decrease, regardless of the length of treatment, unless there is a lack of patient cooperation.
- Missed appointments and extension of treatment time due to lack of cooperation may result in increased fees.
- The quoted fee includes all services rendered in our office, except for the replacement of lost or broken appliances.
- The fee does not include regular dental check-ups or dental work performed outside our office.
- An administrative courtesy discount is given to you if you chose to pay in full at the start of treatment.
- If services are terminated for any reason before the completion of treatment, the account will be adjusted and a just settlement determined based on the amount of treatment completed. Please be aware that approximately a third of the total treatment fee is incurred at the time of initial placement of appliances.
Insurance Information
- There are many different kinds of insurance plans.
- You should contact your employer or union to obtain precise information regarding your benefits and what may be referred to as “preauthorization” requirements.
- We do not have access to your insurance information and you will avoid problems with your insurance company and unforeseen expenses by obtaining this information directly from your employer or union BEFORE you begin treatment. Most plans will not pay for treatment that began before the coverage started even if it is only a few days difference.
- Your insurance company may require that a treatment plan be submitted to them in advance for the determination (or authorization) of benefits.
- If you require this, after the consultation appointment, we will supply you with the proper forms outlining the treatment and fees.
- You may then submit it to your insurance company for benefit determination.
- Most plans only pay a percentage of orthodontic treatment, not the entire cost.
- There may be a deductible clause or a dollar limit or an age limit.
- When treatment begins, a completed claim form will be given to you to send to your insurance company. This form only needs to be submitted once.
- Each time you make a payment we will issue you a receipt which you then submit to your insurance company for reimbursement.

Claiming Your Orthodontic Insurance
To claim your benefits as quickly as possible, please follow the instructions below. While we do not have a direct relationship with your insurance company, we will be glad to help you where we can.
With most insurance companies, your orthodontic claim will be processed quicker if you submit the receipts with a dental claim form.
We also recommend that you keep a copy of the receipt for your own records.
Claiming for Orthodontic Examination or Records and Consultation
You do not need an orthodontic insurance form to claim for the initial examination or records and consultation. To get reimbursed for these costs, submit your orthodontic receipt along with a standard dental claim form to your insurance company, and put the following information on the claim form:
• group number
• identity number (usually the member’s social insurance number or employee number)
• patient dependent number (if through Pacific Blue Cross only)
• patient’s birth date
• patient’s address
• your phone number in case your insurance company has any questions
Claiming for Active Orthodontic Treatment
Fees for active orthodontic treatment are usually divided into an initial fee and post dated monthly or quarterly fees. The initial fee is due when active treatment begins. At that time we will give you an Orthodontic Standard Claim Form. The insurance companies will not change payment schedules during treatment, so make sure the payment plan will work for you.
If you have coverage from two insurance plans, be certain to ask us for two Orthodontic Standard Claim Forms. Please let us know in advance so we can have the forms ready for you when treatment starts.
- If your insurance company requires one of their own insurance forms (called a Standard Dental Claim Form) please attach it to the Orthodontic Standard Claim Form (you get from us), you can get one from your place of employment or download one from your computer from your insurance company’s website (e.g. Pacific Blue Cross under “dental claim forms”)
- Fill out the part of your Standard Dental Claim Form that applies only to Patient Section and Employer section. Do not fill in the doctor information section (as we do not go by general dentistry codes). The only information regarding the doctor section you need will be attached to our Orthodontic Standard Claim Form. Make sure you do not sign at the benefits assigned to dentist line (in the top right corner), just cross it out. This will ensure that insurance cheque will be forwarded to you and not us.
- Make a copy of the all forms and receipts for your own records.
- Send the Orthodontic Standard Claim Form and Standard Dental Claim Form along with any receipts directly to your insurance company or companies.
As your monthly or quarterly post-dated cheques are processed, we will hold your receipt for you to pick up at the next scheduled appointment (unless you come and pick it up sooner). Submit the receipts (including all the information listed above) as you receive them. A new Orthodontic Standard Claim Form is not needed each time a monthly payment is processed but a Standard Dental Claim Form is required.
Claiming On Two or More Plans
If you have two insurance plans, ask us for two copies of the receipt.
Send the first receipt to the plan of the parent with the earlier birth date (MM/DD) in the calendar year. This is considered the “primary coverage”. In the event that both parents have the same birth date, primary coverage belongs to the plan of the parent whose first name begins with the earlier letter in the alphabet.
After you receive payment from the first plan, send a copy of the insurance payment stub along with the second receipt to the second insurance plan.
*In situations of separation or divorce, submit receipts in the following order:
i. the plan of the parent with custody of the child (custodial parent)
ii. the plan of the spouse of the custodial parent
iii. the plan of the parent not having custody of the child (non-custodial parent)
iv. the plan of the spouse of the non-custodial parent
When separated/divorced parents have joint custody of a dependent child the insurance company uses the “birth date rule” (primary coverage falling under the plan of the parent with the earlier birth date) to determine the order of coverage or the parent whose first name begins with the earlier letter in the alphabet when the parents have the same birth date.
* It is vital to include the following information regarding the other plan:
• name of carrier
• group number
• identity number
• orthodontic (plan C) percentage
* In the event there are more than 2 parents involved, the payment order for children is as follows:
i. The parent with the earlier birth date in the calendar year
ii. The parent whose first name begins with the earlier letter in the alphabet when the parents have the same birth date
iii. The spouse of the natural parent with the earlier birth date
iv. The spouse of the natural parent with the later birth date
